Benchmarking Partnerships: BEST Practice and Benchmark Excellence Workshops

DEVELOP & COMPARE YOUR KPI PERFORMANCE BENCHMARKS & THEN IMPROVE

This proposal is to use our international networks and experience to help you do some or all of the following:

  • Develop your critical few Key Performance Indicators (KPIs)
  • Understand what KPIs others use for the same processes / functions
  • Compare (Benchmark) your KPI performance results with other organisations
  • Accelerate your Improvement by learning best practices implemented by others (Benchmarking)

OPTIONS – You can suggest a combination of these steps and suggest other steps and we will tailor our support and pricing to suit your specific needs

CONFIDENTIALITY – Your organisation’s identity and data can be confidentially protected and blinded by our proven Benchmarking Code of Conduct.

Proposed Sample Methodology (see our Benchmarking Model)

We have used similar methodology recently for Government and Private sector organisations for functions like HR, Finance, Corporate Support Services, Facilities Management, Information Technology and Telecommunications.

A. Develop your critical few Key Performance Indicators (KPIs)

  • Identify primary functions, processes, inputs and outputs and related critical Key Performance Indicators (KPIs) using our SIPOC systems model and strategy mapping both now and in 5 years time (using Environmental Scanning methods) – facilitated team of your people
  • Based on current and future Stakeholder needs review the core processes in the context of their value add – facilitated team of your people
  • Establish a low number of key, balanced high level KPI measures, including costs. Inputs will be our experience plus measures currently used by some of our 5,000 benchmarking partners (see step B below)
  • Report to you

B. Understand what KPIs others use for the same processes / functions

  • Benchmarking Partnerships target approach other similar providers across a range of industries to participate (In this process we would also consider their benchmark needs and their definitions of the benchmarks so that the outcome is of benefit to them as well as your organisation - otherwise they will have little incentive to participate). Benchmark partners will be similar and different industries to gain innovative ideas. Included will be our approach to our international partners in Asia, Europe, the Pacific and North America
  • Gain information from amongst our 5,000 benchmarking partners regarding what KPIs they use for same or similar processes and functions and their definitions to calculate results
  • Define the KPI measures used eg what is a “staff” member – is it Full Time Equivalent (FTE) and what makes up FTE eg permanent employees, part-time, casual, contract etc?
  • Report to you

C. Compare (Benchmark) your KPI performance results with other organisations

  • Collate your KPI performance results
  • Develop data collection instrument and instructions – input will be previous instruments used by us
  • Benchmarking Partnerships target approach other similar providers across a range of industries to participate (In this process we would also consider their benchmark needs and their definitions of the benchmarks so that the outcome is of benefit to them as well as your organisation - otherwise they will have little incentive to participate). Benchmark partners will be similar and different industries to gain innovative ideas. Included will be our approach to our international partners in Asia, Europe, the Pacific and North America
  • Issue draft data collection instrument/s to targeted participants with detailed instructions, time frames and definitions
  • Revise measures and definitions based on feedback.
  • Seek final approval from your organisation
  • Issue final data collection instrument/s to all participants with detailed instructions, time frames and definitions – broad and target marketing - place instrument on Benchmarking Partnerships Web site
  • Develop data analysis tool
  • Collect the benchmark KPI results / outputs
  • Respond to enquiries
  • Follow up
  • Analyse available data
  • Chase up data not received close to deadline
  • Explore apparent data anomalies with participants
  • Status report
  • Final data analysis
  • Final Benchmark report
  • Final Benchmark Report will be shared amongst all participating organisations, “blinded” of organisational identity
  • Consider re-measure frequency

D. Accelerate your Improvement by learning best practices implemented by others (Benchmarking)

  • Follow up differences in performance and gather information on reasons including identification of key opportunities for you to improve
  • Report
  • Identify potential benchmarking partners to share leading practices
  • Broker relationships with your organisation for sharing and learning between benchmarking partners
  • Facilitation of sharing and learning – discussion, visits
  • Report
  • Optional in-house or plenary workshop of benchmarking partners hosted by your organisation to discuss benchmarking results
  • Site visits to learn leading practices in detail for adoption by your organisation
  • Alternatively we can compile a Compendium of Best Practices for You.

Timeframe for Delivery (per function / process)

Estimated time of the Benchmarking Process above is 4 months from commencement.

Timeframe and Your Investment (per function / process) – excludes GST. All Australian Dollars (AUD).

A. Develop your critical few Key Performance Indicators (KPIs)

1 day’s facilitation (elapsed time 2 weeks minimum). Your people report the results – including our preparation and prior meeting with you - $2,500 (excludes Environmental Scanning)

B. Understand what KPIs others use for the same processes / functions

4- 6 weeks. We report results. Includes our preparation and reporting - $5,000

C. Compare (Benchmark) your KPI performance results with other organisations

4- 6 weeks. We report results. Includes our preparation and reporting - $6,000

D. Accelerate your Improvement by learning best practices implemented by others (Benchmarking)

4 months from initiation of project eg from Step A. You report results. Includes our preparation - $5,000. Interested organisations invited to extend your networking with a fee to us - you can have up to 3 of your people attend the workshop for no fee. For your Compendium of Best Practices seek alternative quote.

Any face to face meetings required will be costed at $850 plus GST per half day. (Initial meeting included in costs above).

If assistance is required to deliver the results to your Executive / Board / Your People etc this will be separately costed.

Phasing of payments – 25% on commencement, 25% on status report (half way through time period), 50% on completion.

Any travel and accommodation / meal costs outside Sydney and any communication expenses eg internet access from hotels will be invoiced at cost. Air travel over 2 hours discounted business class. Depending in the size of your teams that we facilitate may need 2 Benchmarking Partnerships personnel.

Your facilitator will be one or both of Benchmarking Partnerships principals.

Recommended additional data collection – not costed

Regular sample client perception / satisfaction / process capability survey carried out by partners and benchmarked – with provision for part of survey to cover specific needs at the time or unique requirements.

Our Experience

We have performed similar work for a range of Government and Private Sector organisations including the Australian National Audit Office, Australian Nuclear Science and Technology Organisation, Centrelink, FaCSIA, Boeing Australia, Transfield, BHP Billiton, University of Wollongong, Campbell Page (SME) in all functions mentioned. We have also delivered specific in-house Benchmarking Training and project development and simulation to a variety of customers.

We have a proven ability to deliver on time and on budget.

We have also included a document on the key features of Benchmarking. There is a strong warning about the dangers of comparing benchmark KPIs between different organisations without fully understanding their different criteria for calculation based each organisation’s strategies.
